Automated DA requests and retention control


For a large agency, daily requests for case evidence from the District Attorney’s Office creates an incredible administrative burden that often results in evidence not arriving in time or the unbudgeted hiring of additional staff.

Each requested case requires manual reconciliation between the CAD incident in the Records Management System (RMS) and all related videos in the video evidence management system. Once all videos are collected, they must be packaged, delivered, and confirmed as received. Repeating this process hundreds of times a day can’t be done without error.

One such agency was looking for automation to improve departmental efficiency. Likewise, the agency wanted the DA to maintain control of video retention, effectively taking the responsibility off the plate of the agency itself.


WatchGuard Professional Services developed an integrated workflow by creating a connection between Evidence Library and the agency’s CAD and RMS systems.

Now, when a video is created, the integrated system automatically associates the CAD incident number into the video. This means an incident number search pulls all related video, cutting down significant data entry labor.

As part of the new system, the DA can stream all video associated with an incident as soon as the case is created. With this level of integration, the DA can quickly screen video based on case number and make charging decisions much faster.

Custom video exporting workflow to existing storage


An agency has a policy with a three-year retention on minor infractions and permanent retention on major infractions. The agency has long-standing video storage through Laserfiche®, an independent document management system.

Exporting video evidence from the video evidence management system into Laserfiche was an unnecessarily manual process.


The agency capitalizes on WatchGuard’s open ecosystem. By utilizing WatchGuard Professional Services, the agency now has an automated export workflow. Depending on the category tags in the video, prior to the three-year mark, the integration software kicks in and exports permanently held videos to Laserfiche.

The workflow is now precise and automatic. The agency can retain their relationship with Laserfiche without the hours of manual exports.

Custom workflow for locked, Internal Affairs video evidence



Managing Internal Affairs investigations can be tricky. Limiting access to video evidence related to the investigation is often required.

An agency wanted a way to restrict video access to a smaller number of personnel during IA investigations, but they needed an automated workflow to manage this process.


Using WatchGuard’s open ecosystem, the agency created a workflow that enables restricted access to the broader department while the videos are under investigation.

When the case is closed, the restrictions are removed, and the video is once again accessible to the department and the officers involved.

Automated compliance reviews for law enforcement accreditation


Law enforcement accreditation can create enormous amounts of manual effort to administer them. Such was the case with an agency instituting routine compliance checks on its officers using in-car and body-worn video footage.

In this large agency, the random selection of officer and video proved to be an overwhelming task, especially when making a conscious effort not to oversample any officer or group of officers.


Working with the agency’s IT department, WatchGuard Professional Services created a workflow that connects to the video evidence management system and automatically selects video events at random from all active duty officers. Events are assigned and distributed to the appropriate supervising officer through a browser-based streaming platform. The supervisor reviews the video, selects the appropriate compliance outcome, and marks the task as complete. The system is configured to provide a certain number of random checks per supervisor.

With the new application, the agency can comply with the accreditation while significantly reducing the administrative burden it originally created.

Automatic association of multiple video files to a CAD case


To ensure all pertinent video evidence is available for review with each case sent to court, an agency associates a case number generated by the CAD system with each video.

The agency currently uses the mobile video evidence management system supplied by the patrol car and body camera manufacturer to house all video files, including mobile video, area CCTV footage and citizen smart device submissions. Manually identifying each video and tagging it with the appropriate case number proves to be extremely time-consuming and open to human error.

As a result, the agency is falling behind in fulfilling court requests and inadvertently not providing relevant video evidence.


By building pathways between the mobile video evidence management system (WatchGuard Evidence Library) and the CAD and RMS systems, WatchGuard Professional Services constructed and automated a workflow that discovers video events associated with a case and assigns the appropriate case number without human intervention.

The solution significantly improves the accuracy of evidence provided to court while reducing the manual labor required.
